Salary slip format in India: what a payslip must show
A salary slip should show the company and employee details, the pay period, paid days, each earning, each deduction (PF, ESI, professional tax and TDS) and the net pay. Employees use it for loans, visas and tax filing, so every figure must match what was actually paid.
Sample salary slip
An employee in Ahmedabad on ₹30,000 gross a month, with 1 day of unpaid leave in a 30-day month:
| Item | Amount |
|---|---|
| Basic pay | ₹14,500 |
| House rent allowance (HRA) | ₹7,250 |
| Special allowance | ₹7,250 |
| Gross earnings (29 of 30 paid days) | ₹29,000 |
| Provident Fund (12% of basic) | − ₹1,740 |
| Professional tax (Gujarat) | − ₹200 |
| Income tax (TDS) | − ₹0 |
| Net pay | ₹27,060 |
ESI does not apply here because gross pay is above ₹21,000 a month. Read ESI eligibility and how to calculate PF.

Common mistakes
- Paid days that don’t match the attendance register.
- PF worked out on gross pay instead of basic pay plus DA.
- Professional tax at the wrong state’s slab for a branch employee.
- Payslips sent weeks after salary is paid.
Crew builds each payslip from the attendance register and puts it in the employee app on payday, with PF, ESI, PT and TDS calculated automatically. See payroll.
Frequently asked questions
Is it compulsory to give a salary slip in India?
Wage rules under Indian labour law require employers to give wage slips, and employees need them for loans and tax returns. Giving one every month is standard practice.
What is the difference between gross and net salary on a payslip?
Gross salary is total earnings for the month before deductions. Net salary is what is paid to the employee after PF, ESI, professional tax, TDS and any loan recoveries.
Can salary slips be sent digitally?
Yes. Most companies share payslips as PDFs or in an employee app. In Crew, payslips appear in each employee’s app on payday.
